Why manually tracking your ITPs are a thing of the past

Picture this: you’ve just completed window installations at a flashy new office building. The result is stunning, and you’re feeling pretty proud of yourself. The next step is just to assess each window. All thousand of them.

A hard-copy Inspection Test Plan (ITP) quickly becomes tedious to work with. Putting pen to paper leaves a lot of room for error, and also takes up an awful lot of time.

Thankfully, new developments in construction tech have revolutionised how ITPs are created and stored. Use our handy guide to finally start automating your ITPs.

What are ITPs?

An ITP helps you maintain quality control over your projects. They outline when, what and how you will conduct inspections to ensure every component of your project meets the necessary requirements.

Each critical point of the construction process should be detailed in your ITP, including scheduled inspections and verifications. This single source of truth can protect you from time-consuming and expensive mistakes later down the track.

Your ITP also acts as a record of your company’s quality control efforts, which you can call upon in the event of a legal or compliance issue.

ITPs are typically prepared by quality engineers, who are responsible for testing materials and surveying processes. Their findings are then reviewed by quality managers and construction managers, approved by project managers, and finally submitted to the lead engineer.

All of this will help you with hand back to the client, working as an insurance policy in case you’re ever pulled up on any details.

Why ITP automation makes sense

Manual ITPs are fraught with danger. Illegible handwriting, clerical errors and misplaced paperwork can quickly make your project go belly up. Even the most detail-oriented worker can make a mistake when manually inputting information. Manual ITPs also take a huge amount of time to put together, slowing down the rest of your project.

Automating your ITPs, on the other hand, creates an almost air-tight system. Here’s why:

  • ITP automation increases the efficiency and accuracy of your documentation and communications. Any changes that are made to an ITP sync right away, ensuring all stakeholders can view the most up-to-date copy at any given time.
  • ITP automation allows for a higher quality of work, as the project is regularly checked against quality management standards, and good work practices will become ingrained within the team.
  • ITP automation is more environmentally friendly, and leverages tech that installers already use (i.e. smartphones and tablets)
  • ITP automation allows you to keep a library of digital templates that you can deploy to your team at any time.

As a digital tool, Matrak helps you streamline your ITP creation. By toggling a switch or ticking a box, you can instantly mark an item as a pass or fail. Matrak’s built-in audit history also shows you who completed the inspection, allowing for greater accountability every step of the way.

Our ITP automation tip

To make the switch to ITP automation, start off with a digital tool that gets everyone updating on the one system and cutting down on their pen and paper use.

When creating an ITP template for yourself, consider including:

  • A list of all the critical points of the project, and what inspections are needed
  • The Definable Features of Work (DFOW) for each inspection, which explain what each inspection should look like and what steps need to be followed
  • A clear breakdown of who is responsible for particular inspections
  • All your milestone inspections, which need to be completed when different stages of construction are finished.

While your ITP can be set up in a spreadsheet, it can quickly blow out to be an unmanageable size. Instead, opt for Matrak, which reduces manual work and improves your auditing and visibility, while generating nifty reports.
